Section 2: Meeting management

Scenario 20: Summarizing a recorded webinar or internal training session

Level: Intermediate · Tools: Microsoft Teams Recap and AI summary; Microsoft Copilot or Teams Premium. Alternative: a Google Drive video summary with a transcript.

Who and in what situation

Gökçe, an HR specialist at a factory in Kocaeli, wants to prepare a summary of an occupational safety webinar for employees who could not attend live. She shares the main topics and the sections to watch.

How it is done today

Gökçe watches the recording, takes notes, and consolidates the topics. She checks that the summary follows the same order as the recording.

How to do it with AI

  1. Open the Recap tab from the Teams event chat. For recorded or transcribed webinars and town halls, the recording, transcript, files, and AI summary may be available. [46]
  2. Extract the main topics, sections to watch, and follow-up tasks from the AI summary section. The event must be transcribed and at least five minutes long. [46]
  3. For a recorded Teams meeting, use the Recap /{meeting name} prompt in Copilot to create a video recap highlighting topics, decisions, and discussion points; a Copilot subscription and a recording are required. [9]
  4. If there is a video with a transcript in Google Drive, open the file and check the summary card displayed; summary cards are managed through More > Disable/Enable summary cards. [52]

Example prompt

Summarize the recording of {Webinar name} for a training participant. Separate the main topics, actionable steps, unanswered questions, and relevant time ranges. Do not add information that is not in the transcript; verify critical points, such as regulations or safety instructions, by referring back to the recording.

Evidence and real-world example

No independently published case study of internal training was found; Teams Recap states that it supports webinars, and the Microsoft Copilot video recap and Google Drive documentation also describe summaries of recorded content. [46] [52] [9]

Points to consider

Microsoft specifies English-only support for video recap; check your account for Turkish recordings. [9] The AI summary does not replace the recording. If participants’ images, voices, or personal information are included, check sharing permissions, the retention period, and the KVKK privacy notice. [53] [43]
