Section 2: Meeting management

Scenario 12: Preparing for a 1:1 and performance discussion

Level: Intermediate · Tools: Microsoft Copilot in Outlook on the web or the new Outlook for Windows, Teams, Mac, or Outlook Mobile.

Who and in what situation

Emre, a team leader at an e-commerce company in İstanbul, discusses goals, obstacles, and development needs in his 1:1 with Selin. He wants to guide the discussion using concrete examples and questions.

How it is done today

Emre opens the calendar invitation, task correspondence, and his notes. He realizes that some topics for the discussion were agreed on in the previous meeting.

How to do it with AI

  1. Open the 1:1 invitation in your Outlook calendar. Open the Prepare for this meeting section at the top of the meeting form, then select Show more. [42]
  2. In Copilot chat, ask it to rely only on content you have permission to access: recent tasks, open questions, previous decisions, and open-ended questions to ask during the discussion. [42]
  3. Divide the output into “evidence-backed observation,” “employee input needed,” and “follow-up question.” Do not directly use any performance judgment written by Copilot as a basis for a rating or disciplinary action.
  4. Before the discussion, check HR and company policy on the purpose of processing personal data, who it will be shared with, and how long it will be retained. The KVKK guide requires these points to be clearly stated in the privacy notice. [43]

Example prompt

Create preparation notes for the {discussion period} 1:1 with {employee name}. Use only verifiable tasks and decisions from the sources you can access. Write the results under the headings observation, open question, support needed, and follow-up date; do not assign a performance rating or infer intent.

Evidence and real-world example

No independently published 1:1 case study was found; the basis is the official Outlook documentation stating that Copilot can summarize relevant content specifically for 1:1 meetings. [42]

Points to consider

If there is no related content, the summary may not be comprehensive; check the output. [42] Do not transfer employee data to a personal AI account; follow your organization’s access and retention rules. [43]
