Section 9: Integration scenarios with Claude + MCP
Scenario 81: Organizing invoice PDFs in a folder
Level: Intermediate · Tools: Claude Desktop, local MCP Filesystem server, Desktop Extensions
Who and in what situation
Ayşe, an invoice verification specialist at a logistics SME, wants to name the PDF invoices received each week using the “company_date_amount” format and reduce clutter in the folder.
How it is done today
Ayşe reads the PDF names one by one, opens each file to check the company and date information, then manually renames it in the Windows folder. She first creates a separate copy to avoid changing the wrong file.
How to do it with AI
- In this example, MCP is the shared standard between Claude Desktop and the local program that provides file operations. Claude Desktop acts as the host, the connection as the client, and the Filesystem program as the server; the server can provide tools and resources. [145] [151]
- Select Browse extensions under Settings > Desktop app > Manage > Extensions and install the Filesystem extension approved by your organization. The official MCP examples list Filesystem as a current reference for access-controlled file operations. [152] [153]
- Select only the folder containing invoice copies as the accessible location. Ask Claude to first display the file list and proposed new names in a table.
- After checking the suggestions, tell it to run the renaming tool only on the approved PDFs. User approval is required for tool and data access. [151]
- Compare the old and new names; check the accounting transfer separately.
Example prompt
Only read the PDFs in {INVOICE_FOLDER}. Extract the company name, invoice date, and total amount for each file. First, list the current name, proposed name, and any fields you are uncertain about. Do not move, delete, or rename any files without my approval.Evidence and real-world example
The MCP examples list the Filesystem server as a current reference; Anthropic explains local MCP support in Claude Desktop. No published customer case study was found for this invoice folder. [152] [154]
Points to consider
Install only the trusted extension and limit access to the invoice copy. Do not put payroll, identity, or bank files in the same folder; MCP security documentation emphasizes user permission and data privacy. [151] [152]
