Section 8: Google Workspace + Gemini integration scenarios

Scenario 79: Turning field maintenance into an AppSheet app

Level: Intermediate · Tools: AppSheet, Gemini for App Creation, AppSheet database, mobile field app

Who and in what situation

Zeynep is a maintenance supervisor at a factory group. She wants to collect field technicians’ fault reports, photos, equipment details and inspection results in a single app.

How it is done today

Technicians submit reports through different channels. Zeynep consolidates the information, asks for missing details and edits maintenance records afterwards.

How to do it with AI

  1. In AppSheet, open the My Apps page from the top menu. Select + Create > App > Start with Gemini. [141]
  2. In the Gemini prompt field, describe the maintenance process, user roles and information to be recorded in natural language. AppSheet proposes an app structure consisting of tables and columns. [141]
  3. Review the structure. If needed, use + Add table, table editing and + Add Column to add equipment, photo, status and assignee fields. [141]
  4. Click Create app. Open a sample record in the live preview in the AppSheet editor, and test permissions and required fields.
  5. Before sharing the app, delete the generated sample data and run an end-to-end test with a real fault record. The official documentation states that sample data may be inaccurate. [141]

Example prompt

Design a field maintenance app for {facility_name}. Allow technicians to create fault reports; include fields for equipment, photo, priority, status, assignee and resolution notes. Allow managers to view open records and the closure date.

Evidence and real-world example

No published customer case study was found; the AppSheet documentation shows the steps for describing a process in natural language, reviewing the table and column structure, and using Create app. [141]

Points to consider

Gemini for App Creation is available with paid AppSheet accounts, including AppSheet Core and AppSheet Enterprise Plus for Workspace customers. [141] Administrators can turn off this feature at the team level. [141] The data model proposed by Gemini does not automatically validate the business process’s security, permission and retention requirements; field testing and information security approval are required before live use. Check app access before replacing sample records with real personal data.
