Section 8: Google Workspace + Gemini integration scenarios

Scenario 76: Turning Meet notes into Docs and a follow-up list

Level: Intermediate · Tools: Google Meet Take notes for me, Google Calendar, Google Docs, Drive

Who and in what situation

Ece works in a municipality’s project coordination unit. Each week, she records decisions, responsible parties, and outstanding issues during meetings with contractors and internal teams.

How it is done today

Ece takes notes manually during the meeting, cleans them up afterward, and emails them to participants.

How to do it with AI

  1. Open the event, go to Edit event > Video call options > Meeting records, and select Take notes with Gemini. [7]
  2. Alternatively, select Take notes for me > Start taking notes. Inform participants that notes are being taken and wait for explicit consent if required. [7]
  3. At the end of the meeting, open the Google Meet folder in the organizer’s Drive. Check the Quick notes and Full notes tabs in the meeting-specific Docs file. [7]
  4. Open the document attached to the Calendar event. Manually verify the decisions, owners, and dates.
  5. Check the sharing settings. Access to the notes depends on the sharing settings selected by the meeting host or co-host. [7]

Example prompt

Extract only the decisions explicitly stated in these meeting notes. For each decision, include {responsible_party}, {due_date}, and the source section. Do not invent a responsible party or date if none has been specified.

Evidence and real-world example

No published customer case study was found; the basis is the official documentation on creating Meet notes as Docs, saving them to Drive, and attaching them to the Calendar event. [7]

Points to consider

Take notes for me requires an eligible Workspace edition or Google AI plan. Supported meeting languages are English, French, German, Italian, Japanese, Korean, Portuguese, and Spanish; Turkish is not listed, and multiple languages in the same meeting are not supported. [7] The administrator can configure host controls and explicit consent settings. Use the option to stop taking notes to avoid recording sensitive sections. The Workspace privacy commitment states that data will not be used for model training without permission, but also apply your organization’s meeting policy. [40]
